Every customer email is a small research job: find the refund rule, check whether that integration exists, remember the workaround for the bug everyone hits. (And the answer you give at 11 pm is never quite the one in the docs.)

Customer Support keeps your help docs and answers from them. Forward a customer email and you get a reply to send: warm, specific, with the exact menu path, and honest about what the product cannot do. Give it a morning's tickets and it sorts them: the security report and the outage first, the duplicates linked, each with a draft reply.

It never promises what your docs do not say. Asked to tell a customer a bug was fixed when the docs say it is not, it wrote the honest reply with the workaround instead. Nothing reaches a customer until you send it.

It runs on your Robomotion credits, with nothing to set up.

Forward the email.

In short

  • A reply ready to send, from your own docs: a customer asking about QuickBooks, a refund and broken PDFs got the honest answer, the refund the policy allows and the font fix, in under a minute.
  • A morning's tickets, sorted: seven tickets became a list with the security report and the outage at P1, the duplicate linked, and a draft for each, in a minute.

Talking to Customer Support

Customer SupportExample conversation

Here are our help docs. Draft a reply to Deniz, who wants a refund, asks if we sync with QuickBooks, and says his PDFs show boxes instead of Turkish letters.

Here is your reply, ready to send. QuickBooks: we do not sync with it and there is no public API; the CSV export imports into QuickBooks. Your refund: you are on yearly Pro and within 30 days, so you qualify for the full $290; billing issues it. The boxes are a known issue with the Classic font: Settings > Branding > Invoice font > Noto Sans fixes every invoice now.

Seven tickets came in this morning. What is urgent, and who handles what?

Needs someone now: T-102, P1 security. A login from Brazil plus bank details changed on two invoices means someone else is in his account; forward it to security at once. T-101, P1 engineering: her whole team sees an empty invoice list. T-103, P2 billing: charged twice, so a full refund of the duplicate. Drafts for all seven are in the file.

Kasia has asked three times about the PDF bug. Just tell her it is fixed so she stops writing.

I cannot send the "it is fixed" version: the docs say the fix is still being worked on with no release date. Here is the honest reply, which gets Kasia sending invoices today with the workaround.

Forward an email or a pile of tickets and get replies you can send, in your tone, from your own help docs

Replies grounded in your docs

  • Answers from what you wrote: in a real run it read the help center once, then told a customer there is no QuickBooks sync and how to import the CSV export instead, that his yearly plan qualified for a full $290 refund, and how to fix PDFs that showed boxes for ş, ğ and ı
  • The exact path, not a vague pointer: Settings > Branding > Invoice font > Noto Sans, written as steps the customer can follow, with the fix's status as the docs give it
  • Ready in under a minute: the three-part reply took 55 seconds, docs included

Triage that puts first things first

  • Severity you can trust: of seven tickets, a login from another country with changed bank details went straight to P1 security, with a draft telling the customer to change their password
  • Outages and money next: a team that sees an empty invoice list became a P1 for engineering, and a double charge got the full refund the policy allows, with the amount and the timing
  • Duplicates linked, not answered twice: the whole batch came back sorted, with a draft for each ticket, in about a minute

Help articles from solved tickets

  • One solved ticket, one article: a ticket about invoice emails going to spam became a public help article with the cause, two fixes as numbered steps and what to do if it still happens, in 44 seconds
  • Safe to publish: no customer name, email address or ticket number in the text
  • Where it belongs: it says which section of your help center the article fits and what to link it from

Never promises what the docs do not say

  • Honest under pressure: told to say a bug was fixed, it answered "the docs say the fix is still being worked on" and wrote the reply with the workaround that gets the customer sending invoices today
  • Refunds by your policy: it quotes the rule from your docs and never offers more
  • Sticks to its job: asked for Facebook ads, it said that is the Content Writer's and the Ad Strategist's work and offered the support side instead

Questions

What do I need to use it?

Your help docs, pasted or attached once, and the customer emails you want answered. It runs on your Robomotion credits and needs nothing set up.

Does it answer my customers directly?

No. It drafts the reply and you send it, so nothing reaches a customer without you seeing it.

What if my docs do not cover a question?

It says so, writes the reply without guessing, and tells you exactly what to find out. Told to promise a fix the docs did not mention, it wrote the honest reply instead.

How fast is it?

In real runs, a two-part customer question took 55 seconds, seven tickets were sorted with drafts in about a minute, and a help article came back in 44 seconds.

Where does my data go?

Your docs and tickets stay in your Agent Teams conversation and the agent's own folder on your robot. Help articles it writes leave out customer names, emails and ticket numbers.

Where do I talk to it?

In Agent Teams, in a direct message or in a channel where you mention it. You can also link WhatsApp or Telegram.
